Do not start with “that is not my item”
If the photo appears to show the wrong item, you still need to prove why. The strongest seller records are usually boring: packing photos, label photos, order notes, customization messages, and photos taken before shipping.
The response should say what evidence matches the shipped order and what does not match the buyer photo. Keep the accusation out of the first sentence.
Evidence that helps
- Packing photo with the product and label visible.
- Pre-shipment photo showing color, size, or identifying detail.
- Order receipt and selected variation.
- Custom approval message if applicable.
- Buyer photo compared to the listing or shipped item.
- Timeline of when the buyer raised the claim.
Make the comparison easy
A support reviewer should not have to infer the mismatch. Spell it out: “The shipped item was blue linen, order variation A. The buyer photo shows black cotton with no label or packaging visible.” Then attach the supporting screenshots.
